What Happens When an Employee Leaves?

Once an employee’s leave date is confirmed, their entire profile and historical data can be deleted from AirStack and OnTime. This guarantees that only active employee data remains in the system — maintaining compliance, accuracy, and efficiency.

What Data Is Deleted?

Every linked record is securely removed, including:

  • Personal details (name, ID, and email address)

  • Registration data (biometric templates, fobs, or PINs)

  • Registered devices (any OnTime hardware linked to the user)

  • Access roles (Employee, Admin, or Super Admin)

  • Historical attendance data (clock in/out records)

In short — once an employee leaves, their data leaves too.

How the Removal Works

1. Automated via Optima

When a leave date is entered in Optima, it automatically triggers deletion in AirStack. On that date, all associated data is permanently removed — no manual steps needed.

2. Manual via AirStack

Admins can also remove data manually:

  1. Go to the Employee tab.

  2. Find the relevant record.

  3. Select Remove Employee to delete all data securely.

Both methods deliver the same level of accuracy and protection.

Device-Level Data Removal

When a deletion command is issued, AirStack sends it to all connected OnTime devices.

Each device then:

  • Deletes any local registration data.

  • Confirms deletion back to AirStack.

If a device is offline, AirStack automatically retries every 24 hours until confirmation is received. If an issue persists, the Cube Purple support team helps ensure full clearance.
